WhatsApp Business API for Indian firms selling into Madrid

Indian delegations regularly work the stands at FITUR, Fruit Attraction and Intergift. The handshake happens in Madrid; the follow-up, sent from India, decides whether it becomes an order.

For India-based exporters, travel firms and service companies with buyers in Madrid: how a lead met at a Madrid trade fair becomes a lawful WhatsApp conversation, which Spanish template to use, when to send on Madrid time, and what each message to a +34 number costs in rupees.

Madrid and India, in the Embassy's own words

What the Embassy of India in Madrid reports about the trade and the people moving between the two countries.

Spain is India's sixth-largest trade partner in Europe. Goods trade reached US$9.41 billion in 2025, of which India's exports were about US$7.02 billion, on Spanish ministry figures the Embassy cites.[1]

India's leading exports to Spain include mineral fuels, chemical products, iron and steel, textiles, machinery, seafood and leather.[1]

More than 90 Indian companies operate in Spain and more than 250 Spanish companies in India.[1]

The Embassy lists three major fairs held in Madrid: FITUR for tourism, Fruit Attraction for fruit and vegetables, and Intergift for decoration, furniture and gifts. Indian delegations regularly take part in Spanish fairs of this kind.[3],[1]

The India–Spain CEOs Forum held its first formal meeting in Madrid in May 2017, and the 13th Joint Commission on Economic Cooperation has been proposed for Madrid towards the end of 2026.[2]

The Embassy puts the Indian diaspora in Spain at around 75,000, concentrated in Catalonia, Valencia, Madrid and the Canary Islands, and counted 225,000 Indian visitors to Spain in 2024.[1]

See it work

One fair lead, six layers to a Madrid phone

Follow a single follow-up from the stand to the buyer's phone. Each layer is a decision your team makes before anything leaves India.

Spain's consent rule sits at the top for a reason: a card dropped in a bowl at the stand is not express authorisation. The simplest fix is a QR code on the stand that opens a WhatsApp chat with your number. When the buyer writes first, the 24-hour customer window opens and your answer, price list included, goes back as an ordinary reply without a template.

Below consent, the work is routine: one Spanish template approved in advance, the right category, a send time set on Madrid's clock, and a number saved with its +34. Your CRM or ERP can trigger each step through the developer API, so the follow-up leaves the day the fair closes rather than a week later.

Read it top to bottom. Consent sits above everything else because Spanish law asks for it before a promotion arrives, and Meta asks for an opt-in before any template is sent.

Hop 6 of 6: the payload is in layer 6, The buyer's phone, +34. Delivered to a mobile saved as +34 and nine digits, at Spain's line of the rate card.

Industries

Indian businesses with Madrid on the other end

Who meets Madrid buyers, and the first messages each of them sends to a +34 number.

  1. 01

    Travel and tour operators

FITUR is Madrid's tourism fair, and the Embassy counted 225,000 Indian visitors to Spain in 2024, so itineraries move in both directions.[3],[1]

On WhatsApp: Itinerary and voucher delivery · Pickup details for arrivals at Barajas · Rate sheets for tour operators met at FITUR

  2. 02

    Fresh produce exporters

Fruit Attraction brings the fruit and vegetable trade to Madrid. A buyer met there wants prices and shipment dates, not a brochure.[3]

On WhatsApp: The price list the buyer asked for · Loading and vessel updates · Quality certificates as PDFs

  3. 03

    Gift, décor and furniture makers

Intergift covers decoration, furniture and gifts, and the Embassy lists it among the Spanish fairs Indian delegations regularly attend.[3],[1]

On WhatsApp: Catalogue sent after an opt-in · Sample dispatch notices · Reorder reminders

  4. 04

    Steel and machinery suppliers

Iron and steel and machinery are among India's top exports to Spain, so many Madrid threads are about order status.[1]

On WhatsApp: Purchase order acknowledgement · Dispatch and ETA updates · Payment due reminders

What an Indian team uses to work Madrid leads

  1. Consent records and opt-out enforcement

Each Madrid contact's opt-in source and time is stored, which is the record an express-authorisation rule asks you to be able to show.

  2. Template manager and library

Draft the es_ES follow-up, quote and dispatch templates and track Meta's approval before you fly to the fair.

  3. Shared team inbox

Madrid replies land through the Indian afternoon; transfers and private notes let the export desk and the accounts desk share one thread.

  4. Developer API and webhooks

Questions Madrid businesses ask

We met a Madrid importer at Fruit Attraction and scanned their badge. Can we send our price list on WhatsApp?+
Not on the strength of a badge scan. Ask the buyer to scan a QR code that opens a chat with your number: once they write first, you can answer with the price list inside the 24-hour window. Anything you send later needs their opt-in and an approved template; the [Spain guide](/whatsapp-business-api/countries/spain) explains the express-authorisation rule.
A tour operator we met at FITUR wants our new India itineraries on WhatsApp. Is that a marketing message?+
Yes. A new season's itineraries promote your products, so the template is marketing, ₹6.22 per delivered message to a Spanish number. Confirmations of a booking the operator has made are utility, ₹1.76 each. Either way the operator must have agreed to receive WhatsApp messages from you.
What time should we send from India so a WhatsApp message lands at 10:00 in Madrid?+
At 14:30 IST while Madrid is on winter time, and at 13:30 IST from the last Sunday in March to the last Sunday in October. Simpler still, schedule the broadcast in Madrid time and let the platform work out the Indian hour.
Our Madrid contacts gave us numbers starting 91. Will WhatsApp messages reach them?+
Probably not. A number beginning 91 after +34 is a Madrid landline, and a template is delivered only to a number with a WhatsApp account. Ask for the mobile, which in Spain begins 6 or 7, and save it as +34 followed by its nine digits.
Indian families in Madrid want school and travel updates in Hindi. Can one template come in Hindi and Spanish?+
Yes. Submit a Hindi (hi) and a Spanish (es_ES) version of the same template; Meta reviews each language separately and you choose the version per contact. Inside the 24-hour window, agents can reply in whatever language the family writes.
Our Spanish subsidiary in Madrid looks after the buyers we meet at the city's fairs. Can it hold the InfiQ account?+
InfiQ serves India-based businesses: it bills in rupees with GST and keeps customer data in India, so the Indian parent is the natural account holder and can message Madrid numbers at the Spain rate. If the account must belong to the business based in Madrid, talk to sales about whether InfiQ fits.
