WhatsApp Business API for Indian exporters with buyers in Florence

Pitti Uomo's last edition drew 11,030 buyers to the Fortezza da Basso. What an Indian exporter may send them afterwards on WhatsApp depends on what each buyer agreed to at the stand.

For Indian apparel, knitwear, yarn and leather exporters who meet Florence buyers at the Pitti fairs, and Indian tour operators with guests in the city: which WhatsApp messages may follow a fair contact under Italy's consent rule, in Italian or English, at what time, and at what rate in rupees.

See it work

After the fair: may this message go?

Answer three questions about one buyer you met at the Fortezza da Basso and one message you want to send, and see where Italy's consent rule and Meta's opt-in leave you.

The fix is at the stand, not after it. A QR code on the table that opens a WhatsApp chat with you, plus a short form that asks separately about sample updates and about collections, gives you the record the Garante's guidance expects.

The Italy guide sets out article 130, the 2013 guidelines and what the opposition register does and does not cover.

One Florence buyer, one WhatsApp message

Question 1 · up to 4

How did you get the buyer's WhatsApp number?

Your answers

None yet — pick an answer to start down the tree.

Path map

Depth 0 of up to 4. Circles are questions, squares are outcomes.

All possible outcomes (6)
  • Send a utility template

A sample dispatch or order update the buyer asked for is utility, charged at the Italy utility rate. Keep promotion out of it.

Path: “They scanned our stand QR and wrote first” → “Samples or an order they asked for”

  • Reply freely inside the window

The buyer wrote within the last 24 hours, so your team can answer in Italian or English without a template, at the service rate.

Path: “They scanned our stand QR and wrote first” → “An answer to their question today”

  • Send the collection as a marketing template

Prior, specific consent is on file. Name your company and include a way to stop; keep the record of when and where they agreed.

Path: “They scanned our stand QR and wrote first” → “Our new season's collection” → “Yes, that was on the form”

  • Ask for consent another way first

A card is not consent to WhatsApp promotions, and a first promotional message may not ask for it. Ask by email about a sample, or at the next fair, with a form.

Path: “From a business card at the stand” → “No, we only have the card”

  • Sample updates only

Their yes covered samples. Send those as utility templates and ask separately, outside WhatsApp, before any collection goes out.

Path: “They scanned our stand QR and wrote first” → “Our new season's collection” → “No, only sample updates”

  • Do not send

A list of buyers you never met carries no consent to WhatsApp messages from you, under Italian law or Meta's policy.

Path: “From a bought or shared buyer list”

A simplified check, not legal advice. It follows the Garante's 2013 guidance as the Italy guide summarises it: promotions over apps such as WhatsApp need prior consent, and a first promotional message cannot be used to ask for it.

Question 1: How did you get the buyer's WhatsApp number? 3 options.

Florence's fairs and the India–Italy trade behind them

From Pitti Immagine, the Consulate General of India in Milan and the Embassy of Italy in New Delhi.

Pitti Immagine runs its menswear, children's wear and food fairs at the Fortezza da Basso in Florence; Pitti Uomo 110 closed with 11,030 buyers, 14,500 visitors and 740 exhibitors.[1]

The next editions are Pitti Uomo 111 on 12–15 January 2027 and Pitti Bimbo 104 on 20–21 January 2027, with Pitti Uomo 112 on 15–18 June 2027.[1]

India–Italy trade stood at €14.25 billion in 2025, with Indian exports of about €8.55 billion, according to the Consulate General of India in Milan.[2]

Articles of leather, textile articles, and apparel and clothing accessories are among the Indian exports to Italy the Consulate lists.[2]

The Embassy of Italy in New Delhi calls the Indian community in Italy the largest in the European Union, and says students and workers from all parts of India choose Italy every year.[3]

Who in India writes to Florence

Each Pitti fair has its own Indian exhibitors and buyers; tourism adds a fourth group.

Menswear and shirt exporters

Pitti Uomo's buyers place orders after January and June; apparel is among India's exports to Italy.[1],[2]

  • Sample dispatch and tracking
  • Order confirmation and proforma PDFs
  • Production milestones

Yarn and knitwear makers

Pitti Filati is the yarn fair; spinners and knitters follow up with mills and design studios.[1]

  • Shade-card and lab-dip approvals
  • Lot and dispatch updates
  • Price list sent as a document

Children's wear and leather goods

Pitti Bimbo for children's collections; articles of leather are a listed Indian export to Italy.[1],[2]

  • Buyer appointment reminders
  • Shipment arrival notices
  • Reorder replies in the inbox

Tour operators and travel agents

Operators running Italy itineraries for Indian travellers keep in touch with guests while they are in the city.

  • Meeting point and guide's number
  • Museum slot reminders
  • Change alerts on the day

Italian for Florence buyers, English for everyone else

Meta approves each template once per language. A Florence programme usually needs two, sometimes three.

Write the Italian version properly, not by machine: a buyer who reads a clumsy template in their own language trusts the shipment less. Replies inside the 24-hour window can be in any language; InfiQ's own support team works in English and Hindi.

What an exporter runs for Florence buyers

The record the decision tree depends on, and a team that answers across the time gap.

  • Consent records and opt-out enforcement

Each contact's opt-in source and time are recorded, STOP replies are enforced at platform level (even against later imports), and the audit trail exports.

Each buyer's opt-in source and time is stored, with separate yeses for sample updates and for collections, and STOP blocks later marketing even after a re-import.

  • Template manager and library

Draft, submit and track WhatsApp message templates for Meta's approval, starting from a library of 1,000+ ready templates in 27 categories.

Draft the it and en versions of a sample-dispatch template and track each one through Meta's approval before the fair ends.

  • Shared team inbox

One WhatsApp number answered by a team: 10 users on Lite and 25 on Growth, agent and manager roles, transfers, private notes, labels and canned replies.

Merchandisers in India and the sales lead at the fair work one number, so a buyer's question about a lab dip reaches whoever owns the order.

  • Broadcast campaigns

Send approved template campaigns to up to 2,00,000 contacts per broadcast, with segments, scheduling and delivery analytics.

When the new season is ready, send it only to the segment of Florence buyers who agreed to collections, and schedule it for their morning.

Questions Florence businesses ask

We collected buyers' business cards at our stand in the Fortezza da Basso. Can we send them our new collection on WhatsApp?
Not on the strength of the cards. Italy's privacy regulator requires prior consent for promotions over apps such as WhatsApp, and a first promotional message cannot be used to ask for it. Ask by email or at the next Pitti edition, with a form that asks separately about collections.
A Florence showroom asked for knitwear samples after Pitti Filati. Is the dispatch update a marketing message?
No. An update about samples the buyer asked for is a utility template, charged at ₹2.64 per delivered message to a +39 number. Keep it to the shipment: adding the new season's offers would turn it into marketing, which needs a separate yes.
Pitti Uomo 111 runs from 12 to 15 January 2027. When should a reminder leave India to reach buyers at 09:00 in Florence?
At 13:30 IST. In January Florence keeps Central European Time, four and a half hours behind India. For Pitti Uomo 112 in June 2027, under summer time, the same 09:00 send leaves at 12:30 IST.
Should price lists for Florentine buyers go out in Italian or in English?
Both are on Meta's template list, as it and en, and each version is approved separately. Use Italian for Florence showrooms and back offices that write to you in Italian, and English for international buyers met at Pitti. Start with the language your buyers wrote to you in.
Our Indian tour company spends a day in Florence on every Italy itinerary. Can guests get the meeting point and the guide's number on WhatsApp?
Yes, as utility templates to guests who agreed to trip updates when they booked. Meta charges by the number's country code, so a guest still on an Indian +91 number costs ₹0.19 and one using an Italian +39 SIM costs ₹2.64. Ask which number they will carry.
Our sales agency in Florence represents an exporter in India. Which company should hold the InfiQ account?
InfiQ is built for India-based businesses: it bills in rupees with GST and keeps customer data in India. If the Indian exporter runs the programme, it can hold the account and message +39 numbers at the Italy rate. If your business is based in Florence, talk to sales about whether InfiQ fits.
