What is a payment reminder?
A payment reminder is a business-initiated WhatsApp message that tells a customer a specific payment is coming up or has been missed: a loan EMI, a credit-card or electricity bill, an insurance premium, a school or coaching fee, a subscription renewal or a B2B invoice. A useful one says who is asking, what the payment is for, the exact amount, the due date and how to pay — usually a payment link behind a URL button, with UPI payment offered first on the checkout — so the customer can settle it from the message itself.
Reminders go out as message templates, because the customer has usually not written in the last 24 hours. Meta treats them as a utility template when they concern a transaction or account the customer already has and contain nothing promotional. Add a pre-approved top-up loan, a renewal discount or a cross-sell and the message becomes marketing content, which Meta can recategorise and charge at the marketing rate. Each delivered utility template is charged per message — ₹0.19 in India — including inside an open customer service window since 1 October 2026, and opt-in is required as for any business-initiated message.
Timing is most of the craft. Reminders are scheduled relative to the due date — for example seven and two days before, on the morning of the due date and one day after — and cancelled the moment the payment is recorded. Overdue messages need extra care: RBI's rules on recovery conduct for regulated lenders forbid intimidation and harassment and restrict recovery calls to between 8 am and 7 pm, and applying the same hours to reminder messages is a sensible default. A payment reminder is about money already owed; cart recovery, by contrast, nudges a shopper who left a checkout unfinished and is usually marketing.
Key takeaways
- A payment reminder is a utility template telling a customer that a specific bill, EMI, premium or invoice is due or overdue.
- It stays utility only while it is about a payment the customer already owes and carries no offer, discount or upsell.
- A typical cycle is two to four messages: a few days before the due date, on the day and soon after it — not one every day.
- Each delivered reminder is charged at the utility rate (₹0.19 in India), so stop the sequence the moment payment lands.
- RBI-regulated lenders must keep collections free of harassment and recovery calls within 8 am–7 pm; the same hours are a sensible limit for reminders.

Why it matters
Why does a payment reminder matter?
Missed payments hurt both sides: late fees and credit-score damage for the customer, collection effort and cash-flow gaps for the business. A reminder on the app people open every day, with a pay button that works in a couple of taps, settles many dues before they turn overdue, at far lower cost than a calling team. Sent carelessly — too often, in a threatening tone, or to someone who has already paid — the same message produces complaints, blocks and a falling quality rating for the number.
How does a payment reminder work?
Sync the ledger
Pull due dates, amounts and payment status from your billing, loan or invoicing system every day, and listen for payment events from your gateway so the schedule always reflects what is actually owed.
Write one utility template per stage
Create separate templates for upcoming, due today and overdue, with variables for the name, amount, due date and reference, and a URL button whose variable suffix is the payment link ID. Keep offers out of all three.
Schedule against the due date
Queue each reminder relative to the due date (T-7, T-2, T0, T+1, for example) in daytime hours, and set a template time-to-live so a due-today message cannot arrive tomorrow. Utility templates accept a custom TTL from 30 seconds to 12 hours.
Re-check status just before sending
Read the payment status seconds before each send, and cancel the job if the customer has paid, an auto-debit is already scheduled, or they have opted out of WhatsApp messages.
Answer replies and escalate gently
A reply opens the 24-hour customer service window: explain the amount, send a fresh link or agree an extension. Persistent overdue cases go to a person, not to more templates.
Example: A Nagpur two-wheeler lender's EMI cycle
A Nagpur two-wheeler lender has 18,000 borrowers whose EMIs fall due on the 5th. Borrowers on UPI AutoPay get one utility template on the 2nd — your EMI will be debited on the 5th, please keep the amount in your account — alongside the pre-debit notice their UPI app sends. Borrowers who pay manually get three: on the 29th with a Pay now button carrying a UPI-enabled payment link, on the 4th, and at 10 am on the 5th with a six-hour time-to-live. Every captured payment from the gateway webhook cancels that borrower's remaining jobs within a minute. On the 6th, the few hundred still unpaid receive one factual overdue notice that quotes the late-fee clause of their loan agreement and offers a Talk to us button; after that the collections team takes over and calls only within permitted hours. (Figures illustrative.)
Common mistakes with a payment reminder
Reminding people who have already paid
Nothing annoys a customer faster. Re-check status just before every send, cancel queued jobs on the payment event, and allow for bank and UPI settlement delays before treating anyone as overdue.
Sliding into marketing
A renewal discount, a top-up loan offer or a product link turns a reminder into marketing content, charged at the marketing rate and open to recategorisation. Keep reminders strictly about the amount owed.
Threatening or shaming language
Casual threats of legal action, capital letters or hints about contacting family break lenders' fair-practice obligations and get the number reported. State the facts, the consequence written in the agreement and a way to talk to someone.
Nagging every day
Daily messages until payment drive blocks and opt-outs, which drag down the number's quality rating. Cap reminders per cycle with frequency capping and put the effort into the message that matters most: the one on the due date.
Reminders that land after the due date
Without a short time-to-live, a due-today reminder for a phone that was switched off can arrive the next day and read as a mistake. Set a TTL on every time-bound reminder.
Payment Reminder FAQs
- Is a payment reminder a utility or a marketing template?
- Utility, as long as it only concerns a payment the customer already owes. Under Meta's marketing vs utility template rules, any offer, discount or cross-sell makes it marketing content, which Meta can recategorise and charge at the marketing rate.
- How many payment reminders should I send per bill?
- Usually two to four per billing cycle. One a few days before the due date, one on the day and one after it cover most needs; more messages tend to raise blocks and opt-outs rather than payments.
- Can I send payment reminders on WhatsApp without opt-in?
- No. WhatsApp requires the customer's opt-in before any business-initiated message, reminders included. Collect it during onboarding or checkout, and record when and how it was given.
- Does a WhatsApp reminder replace the bank's pre-debit notification?
- No. For card e-mandates and UPI AutoPay, the bank or UPI app sends its own pre-debit notification at least 24 hours before the debit. A WhatsApp reminder from the business complements it, for example by asking the customer to keep funds ready.
- What time of day should payment reminders go out?
- In daytime hours, when the customer can act — mornings work well on the due date. Lenders regulated by RBI must keep recovery calls between 8 am and 7 pm, and following the same hours for messages avoids complaints.
Best practices for a payment reminder
- Put the amount, the due date and the reference in the message body, not only behind the button.
- Send due-date reminders in the morning, when people have the day to act on them.
- Add an Already paid quick reply so customers can tell you, then verify with the gateway rather than trusting the tap.
- Use one template per stage instead of one generic text, so each message can say exactly what changed.
- Track the paid-before-due rate per reminder step and drop steps that add cost without moving payments.
