Getting appointment reminders templates approved — and opened

Submit reminder templates as Utility, not Marketing — a reminder for a booking the customer made is transactional, and Utility messages are cheaper and less likely to be filtered.

Put the reschedule and cancel actions as quick-reply buttons rather than asking people to call. Templates with buttons get faster responses, and a cancellation you know about is a slot you can refill from the waitlist.

Avoid promotional language ('special price', 'limited slots') inside reminder bodies. Meta reviewers reclassify mixed-content templates as Marketing, which changes pricing and can trigger rejection of the Utility submission.

For healthcare bookings, keep bodies to logistics only — date, time, doctor name, location, prep steps. Mentioning conditions or treatments in a template is both a privacy risk and a common rejection reason.

How many reminders can I send for one appointment without annoying customers?

Two or three works well in practice: a confirmation at booking, a reminder 24 hours before, and a short nudge 2 hours before. Each message should add something — the 2-hour one can include directions or a parking note. More than three for a single slot tends to increase blocks, which hurts your quality rating.

Can the customer reschedule directly from the WhatsApp message?

Yes. Quick-reply buttons like 'Reschedule' or 'Cancel' open a conversation where your team or a bot offers new slots. You can also use a URL button that deep-links to your booking page with the appointment ID pre-filled. Either way you learn about the cancellation early enough to refill the slot.
