A saved reply snippet an agent inserts with a shortcut, with variables for names or order details, to answer common questions fast.

01 · How it works, in 5 steps

How does a canned response work?

  1. 1

    Find the repeat questions

Sort last month's conversations by tag and pick the 20 to 30 topics that cover most volume. Write one response per topic, not one per agent.

  2. 2

Write with variables, not real data

Use placeholders such as {{first_name}} and {{order_id}} for anything customer-specific. Never save a reply that was typed for one customer, with their number or email still inside.

  3. 3

Give each a shortcut and an owner

Short, guessable shortcuts (/track, /refund-upi) make responses usable mid-chat. Assign an owner who updates the text when a policy or price changes.

  4. 4

    Insert, personalise, send

The agent types the shortcut, the inbox fills the variables, and the agent adjusts a line to fit the conversation before sending within the window.

  5. 5

    Review usage and edits

Check which responses are used, which are always heavily edited, and which correlate with reopened chats. Rewrite or retire those.

02Try it

Hands-on: use the controls to work through it yourself.

Clean a reply before you save it as a snippet

Masking hides personal data before it reaches logs and dashboards, while keeping enough to recognise it.

Try

Text with email addresses or phone numbers.

What a snippet must not keep
Hi Priya, your order 48213 ships today. If the courier misses you, call us on +•• ••••• •3210.
Emails
0
Numbers
1
  • Masked 1 phone or long number.
  • Numbers keep their last 4 digits — enough to confirm with a customer, useless to a fraudster.
  • Masking is one-way: do it before text reaches logs, analytics or exports.
Pick a reply an agent typed for one customer and see the personal data that would leak into every future chat. Masking shows what to replace with {{variables}} before saving it as a canned response.

03What is a canned response?

A canned response is a pre-written reply that a support agent saves once and inserts into a conversation with a shortcut, such as typing /returns or picking it from a menu. Most inbox tools let the snippet contain variables — {{first_name}}, {{order_id}}, {{delivery_date}} — that are filled from the contact or the CRM at the moment of insertion, and the agent can edit the text before sending.

On WhatsApp, canned responses are used for free-form replies inside the 24-hour customer service window, the period after a customer's last message when a business can reply with any content. They are an inbox convenience and never pass through Meta review. That is the key difference from a message template: a template is submitted to Meta, approved, and is the only way to start or reopen a conversation after the window has closed.

Canned responses are also distinct from quick reply buttons. A quick reply button is part of the message the customer receives and taps; a canned response is a tool on the agent's side for typing faster. A canned response can, however, include an interactive message with buttons if your inbox supports sending them.

Key takeaways

  • A canned response is a saved reply an agent inserts with a shortcut such as /refund, then edits and sends.
  • It is an inbox feature for free-form replies inside the 24-hour window, not a Meta-approved message template.
  • Variables like {{first_name}} and {{order_id}} are filled from the conversation or CRM, so no customer's real details are stored in the snippet.
  • A quick reply button is something the customer taps; a canned response is something the agent types faster.

04 · Mistakes to avoid

Common mistakes with a canned response

  • Sounding like a robot

Customers notice the same paragraph pasted verbatim. Keep responses short, use the customer's name and expect agents to adapt one line to the question asked.

  • Saving real customer data in a snippet

A response saved from a live chat can carry someone's phone number or email to every future customer. Replace details with variables and mask anything left before saving.

  • Using a canned response outside the window

Once 24 hours pass since the customer's last message, free-form text fails with error 131047. Reopen with an approved template instead.

  • Letting the library rot

Old prices, expired offers and changed policies stay in snippets for months. Give every response an owner and a review date.

05Example: Return requests at a Surat textile seller

A Surat saree seller receives dozens of return requests a day on WhatsApp. Agents used to type the policy from memory and quoted three different pickup windows. The team now uses /return-start, which fills {{first_name}} and {{order_id}} from the order lookup and explains the 7-day return policy in two short paragraphs, plus /return-label for the pickup step. Average handle time on return chats falls, and complaints about contradictory answers stop. When the policy changes for the wedding season, one person updates two snippets instead of retraining the team.

06 · Why it matters

Why does a canned response matter?

Most support queues are dominated by a handful of questions: where is my order, how do I return this, what are your timings. A good library of canned responses cuts average handle time on those, keeps policy wording identical across agents and shifts, and lets new agents answer correctly on day one. Because each service reply has been charged per message in India since 1 October 2026, a clear, complete answer in one message is also cheaper than three vague ones.

08 · Pro tips

Best practices for a canned response

  • Name shortcuts by the customer's problem (/late-delivery), not the department.
  • Keep each response to what fits on one phone screen; link to a help article for detail.
  • Write regional-language versions for the topics that need them rather than relying on translation mid-chat.
  • Add a matching internal note snippet for the wrap-up, so tagging is as fast as replying.

09Canned Response FAQs

Is a canned response the same as a WhatsApp message template?+
No. A canned response is a saved reply in your inbox for use inside the 24-hour window, with no Meta review. A message template is approved by Meta and is required to message a customer outside that window.
Can canned responses include buttons or images?+
It depends on your inbox. Many tools let a saved reply attach media or reply buttons; on WhatsApp a non-template reply-button message allows up to 3 buttons with titles of up to 20 characters.
Do canned responses cost anything on WhatsApp?+
The snippet itself costs nothing, but sending it is a service message. In India, service messages have been charged per delivered message at ₹0.145 since 1 October 2026.
How many canned responses should a team have?+
Enough to cover your most frequent topics, usually a few dozen. A library of hundreds becomes hard to search, so agents fall back to typing from memory.
