What makes a template pass Meta review

Every template message goes through Meta's review before you can send it, and most rejections are avoidable. Reviewers — automated first, human if flagged — check that the message is comprehensible on its own, that its category matches its content, and that nothing about it looks deceptive. A draft that reads like a real message to a real customer, with specific context instead of vague prompts to “click here”, clears review far more reliably than a skeleton stuffed with placeholders.

  • Give every variable a sample value. Submissions without realistic examples for {{1}}, {{2}} and so on are a leading cause of rejection — the reviewer has to see what the filled-in message looks like.
  • Pick the honest category. Submitting a discount blast as utility does not save money for long: Meta reclassifies miscategorised templates, and repeated attempts hurt your standing. If the message would still make sense without the customer having bought anything, it is marketing.
  • Skip link shorteners. bit.ly-style links hide the destination, which reviewers treat as a red flag. Use your full branded domain, ideally in a URL button rather than pasted into the body.
  • Offer an opt-out on promotional sends.A “Stop promotions” quick reply keeps block rates down, and block rate is what ultimately throttles your messaging limits.

Category choice also shapes how the message should be written. Utility phrasing — “your order {{1}}has been dispatched” — is anchored to a transaction the customer expects to hear about, so it feels like service, not interruption. Promotional phrasing bolted onto a transactional send (“your order shipped — and here's 20% off!”) converts the whole conversation to the marketing rate and trains customers to skim your updates. Keep transactional templates purely transactional: read rates stay high, costs stay low, and your marketing templates land better because they arrive less often.

Frequently asked questions

Why do WhatsApp message templates get rejected?

The most common reasons are formatting problems rather than content: variables without sample values, placeholders that sit next to each other or start and end the message, shortened links (bit.ly and similar), and promotional wording submitted under the utility category. Vague templates like "Hello {{1}}, click here" are also rejected because reviewers cannot tell what the customer will actually receive.

What is the difference between marketing and utility templates?

Utility templates relate to a transaction the customer already has with you — order confirmations, delivery updates, appointment and payment reminders. Marketing templates promote something: offers, win-back messages and general announcements. The distinction matters because marketing conversations are typically billed at a higher rate and Meta reclassifies templates it believes are miscategorised.

How many variables can a template body contain?

There is no fixed cap, but Meta enforces proportionality: a body made up mostly of placeholders is rejected. Variables must be numbered sequentially from {{1}}, cannot be adjacent to each other, and every one needs a realistic sample value at submission. Two to four variables is the practical sweet spot for most templates.

How long does Meta take to approve a template?

Most templates are reviewed automatically and come back within a few minutes. Templates that trip the automated checks go to manual review, which can take up to 24–48 hours. Submitting clean drafts with sample values and the right category is the best way to stay on the fast path.

Can I edit a template after it is approved?

Yes — you can edit an approved template's content or category, but each edit sends it back through review and the template is unavailable while that runs. Meta also limits how frequently a template can be edited, so it is worth getting the draft right before you submit rather than iterating on a live template.
